Getting started

What does ROSE do, in one sentence?

You put in the order. ROSE sends the invoice, reminds the store to pay, reminds the brand to pay your commission, and shows you who owes you what, every day, until the money lands.

How do I put in my first order?
  1. Open ROSE on your phone or computer and tap + New Order.
  2. Pick the store, pick the brand, add the products and quantities.
  3. Tap Submit. That is it. The invoice goes out and the order appears on Home.

Your first one takes about two minutes. After that, stores you have sold to are one tap away.

Do my stores or brands need to use ROSE?

No. They never log in to anything. They get normal emails from you with one-tap buttons. ROSE works for you alone.

What is Home?

Home is the page that answers "who owes me money?" Five boxes at the top: Overdue, Due soon, Unpaid on terms, Brands owe you, Paid to you. Tap a box to see only those orders. Tap an order to see its money trail and what to do next.

Can I try it with fake data first?

Yes. Settings › Practice Mode › Show me a sample business turns on Demo mode: sample stores and orders on every page to click around. Your real book is untouched. The banner at the top of each page turns it off again.

How do I connect LeafLink?

Two ways. Pick one, or use both.

  • API key (best). ROSE reads your LeafLink orders directly, with exact quantities, prices, tax and ship date. Takes 3 minutes once.
  • Forward the emails. Send LeafLink's order emails to your personal ROSE address. Works with any LeafLink account, no key needed.

Either way, new LeafLink orders land in Requests on Home, waiting for your approval. ROSE only reads from LeafLink. It never changes anything there.

Where do I get my LeafLink API key?
  1. Log in to LeafLink on a computer (the key page is not in the phone app).
  2. Open Settings, then Applications.
  3. Create an application. Name it ROSE. LeafLink shows you a key: a long string of letters and numbers.
  4. Copy the whole key.
  5. In ROSE, open Settings › LeafLink, paste the key, and tap Test key.
  6. Pick your name from the list of sales reps, then tap Connect. Done.
Only a LeafLink company admin can create an application. If you do not see Applications under Settings, ask your admin to create one and send you the key.
Your key is stored encrypted and never shown again. You can disconnect it any time from the same Settings page.
How do I forward LeafLink emails instead?
  1. In ROSE, open Scan. Your personal ROSE address is shown there. It starts with rose-.
  2. In your email, set up auto-forwarding for messages from LeafLink to that address. In Gmail: Settings › Forwarding, add the address, then make a filter for mail from leaflink.com that forwards to it.
  3. Or just forward a LeafLink order email by hand. Same result.

Home shows "Forwarding verified" after the first email arrives.

I am a rep on someone else's LeafLink. Will ROSE see other reps' orders?

No. With an API key you pick your own name, and ROSE files only orders that list you as the sales rep. With email forwarding, ROSE only sees what lands in your inbox. A company owner can tick "I own the company" to file every order instead.

Money

Who marks an order as paid?
Only you. Ever. A store or a brand can tell ROSE "we paid" from an email button, but that is a note, not a payment. Nothing is marked paid until you tap Yes, I got paid yourself.

Same for your commission. The brand can say "sent"; you confirm when it lands.

What is the money trail?

Tap any order on Home. You see every step in order: ordered, delivered, store paid, brand paid you. Under it, the store's phone (tap to call) and licence number (tap to copy), and one button for the next thing to do.

How often does ROSE remind a brand about my commission?

Once the store has paid, ROSE asks the brand for your commission automatically. You can ask again yourself from Home or from the daily email.

A brand is never asked more than once every 48 hours, no matter how many buttons get tapped. Every request is listed on the order, so you always know how many times and when.

What do "Overdue", "Due soon" and "On terms" mean?
  • Overdue: past the payment due date. Red. Call the store.
  • Due soon: due within 7 days. Amber. Send a reminder.
  • Unpaid, on terms: still inside Net 30 (or whatever the terms are). Nothing to do yet.
  • Brands owe you: the store paid, your commission has not arrived yet.
  • Paid to you: everyone has paid. Done.
Where does the due date come from?

Delivery date plus the payment terms. COD is due on delivery, Net 30 is 30 days after delivery. If the delivery date is not confirmed yet, ROSE asks the brand's fulfilment contact for it, and the clock starts when they answer or when you confirm the order arrived.

Emails ROSE sends

Which emails go out automatically?
  • To the store: the invoice when you submit, a reminder before the due date, a reminder when it is late, and a "time to reorder" nudge later on.
  • To the brand: a request to confirm stock and delivery date, then your commission invoice once the store has paid, and reminders until it is paid.
  • To you: a morning briefing, a daily money check when something is owed, and a weekly report.

Want to read them first? Turn on Demo mode (Settings › Practice Mode) and tap Email me the 9-email tour in the banner. The whole set lands in your own inbox with the real wording.

Who do the emails come from?

From your name, with your details from Settings in the signature. Replies come to you. Stores and brands never see the word ROSE on their buttons or pages.

What happens when a store or brand taps a button in an email?

They land on a small page that shows the order and asks them to confirm. Nothing happens from just opening the link. When they confirm, you get told, and it shows on the order's money trail. You still make the final call on anything to do with money.

Can I turn an email off?

Yes. Settings › To your stores has a switch for each email that goes to your stores. Settings › To your email has one for each email that comes to you. Mark an order paid and its reminders stop on their own.

Teams and brand owners

How do I add a rep to my team?
  1. Open Brand HQ and type the rep's email in the Invite box.
  2. They get an email. If they are new, it sets up their account. If they already use ROSE, they get asked to join and tap Join on their Home.
  3. You get an email the moment they are in.

The Team plan includes 3 seats. More can be added from Brand HQ.

What does a brand owner see?
  • Brand HQ: this month's sales across every rep, the leaderboard, stores gone quiet, what needs you today, and the commission you owe each rep.
  • Home, My Company: every rep's orders combined, each one named, with the same Overdue, Due soon and Unpaid boxes. The Me / My Company switch is at the top.
What do my reps see of each other?

Your choice, on Brand HQ. Private (the default): each rep sees only their own book. Leaderboard: their own book plus a ranking of totals, no store names. Full: the whole team's orders, but never what another rep is paid.

Your account

How does the free trial work?

14 days, every feature, no limits. You can cancel inside the trial and pay nothing. If you keep going, the plan you picked starts on day 15. Plans and prices are on the pricing page.

Is my data safe? Who can see it?
  • Only you (and your team owner, if you are on a team) can see your orders. Every page in ROSE needs your login.
  • Your LeafLink key is stored encrypted and never shown again.
  • ROSE never sells or shares your store list. Your book is yours.
Can I use it on my phone?

Yes, ROSE is built for the phone first. For the full app feel:

  1. Open roseosx.com in Safari (iPhone) or Chrome (Android).
  2. Tap Share (iPhone) or the three dots (Android), then Add to Home Screen.
  3. Turn on Settings › To your phone to get a ping when a store reorders or a rep joins.
How do I change my name, company or the email alerts go to?

All in Settings. Rep Profile has your name and company; they go on every invoice and email. Scorching Alerts has the inbox ROSE's own emails to you land in; leave it blank and they go to your login email.

How do I cancel?

Settings › Billing › Manage. Cancel takes effect at the end of the period you have paid for. Nothing is deleted on the spot, so you can come back.
